Privacy Policy

PoleFX LLC ("PoleFX", "we", "us", "our") builds programmable LED dance poles. This policy covers polefx.com, the forms on it, and our product documentation at docs.polefx.com. We are a small company, this site is deliberately simple, and so is what we do with your information: we collect what you send us so we can quote and build your pole, and we count visits so we know which pages are worth writing.

There is no account to create, no shopping cart, and no advertising on this site. We do not sell your personal information, and we do not share it with advertisers.

What we collect

What you type into a form

Our contact form and our order request form ask for your name and email address, and let you add a phone number, an Instagram handle, a shipping address, and a message. The order form also records what you configured: the pole, the options, the quantity, your ceiling height if you measured it, the kind of venue, and your timeline.

All of it is optional except your name, your email, and (on the contact form) a message. Send us as little as you like. If you would rather not use a form at all, email sales@polefx.com.

What gets collected automatically

Our website infrastructure provider processes ordinary request information when it serves the site, including your IP address, the page requested, and browser and device information. We also run Google Analytics, which reports visits, page views, referrers, approximate location, browser and device information, and progress through the order-request steps. Google uses an IP address to derive approximate location, then discards it before the address is logged in Analytics.

Our Analytics setup disables Google Signals and advertising personalization. We do not send Google your name, email address, phone number, shipping address, message, Instagram handle, or any other form contents. We do not use fingerprinting or session-recording tools.

Why we collect it

  • To reply to you, quote your pole, and build and ship your order.
  • To keep a record of the order so we can support and warranty it later.
  • To understand which pages and products people actually look at.
  • To keep the site working and defend it against abuse.
  • To meet our legal and tax obligations.

We will not add you to a marketing list because you asked us a question. If we ever start sending a newsletter, it will be something you opt into.

Cookies and analytics

This site sets one cookie of its own, and only if you use the analytics switch below: it records your choice so we can honor it on your next visit, here and on docs.polefx.com. Google Analytics sets its own cookies to tell repeat visits from new ones. You can remove or block cookies in your browser settings; nothing on this site breaks if you do.

You can opt out of our analytics in any of these ways:

  • Turn it off for this site. Visit any page with ?analytics=off on the end of the address, for example polefx.com/?analytics=off. We store that choice in your browser and stop loading the analytics script entirely, here and on docs.polefx.com. ?analytics=on undoes it.
  • Send a Global Privacy Control signal. Some browsers and extensions send GPC automatically. If yours does, this site loads no analytics at all, with nothing for you to click. See globalprivacycontrol.org. GPC is the only such signal we act on; we do not currently act on other "Do Not Track" headers.
  • Opt out of Google Analytics everywhere with Google's opt-out browser add-on.

Who we share information with

We use service providers to operate the website and our business. They may process personal information only for the service they provide to us, subject to our agreements with them and applicable law. The categories of recipients are:

  • Website infrastructure and security providers, which process IP addresses, browser and device information, and request details needed to serve and protect the site.
  • Analytics providers, which process usage information, approximate location, and browser and device information unless you opt out as described above.
  • Communications and business operations providers, which process form submissions, correspondence, and order details so we can reply, prepare quotes, and manage orders.
  • Payment processors, which collect and process billing and payment information directly when you pay an invoice. PoleFX does not receive your complete card number.
  • Shipping and fulfillment providers, which receive the contact, order, and delivery details needed to fulfill an order.
  • Professional advisers, insurers, and government authorities when reasonably necessary to operate the business, protect rights or safety, or comply with law.

We may also disclose information when you ask us to or as part of a business sale, merger, or similar transaction. We do not disclose it for unrelated purposes.

Payments

You cannot buy a pole directly on this site. Requesting an order costs nothing and charges nothing: we reply with a quote, and if you go ahead we send an invoice. Card details are entered on the payment processor's own page and never reach our website or our servers.

How long we keep it

If you place an order, we keep the record while we support the pole and for as long as tax, accounting, warranty, and dispute-resolution rules require. Inquiries that never turn into an order are kept while they are useful for follow-up, then deleted. Google Analytics retains user-level and event-level data for the period configured in our Analytics account; aggregated reports may remain available longer. You can ask us to delete your information sooner, and we will unless we still need it for one of the reasons above.

Security

The site is served over HTTPS, and form submissions are encrypted in transit. We use access controls and other reasonable safeguards appropriate to the information we hold. No system is perfectly secure, but we keep the number of places your information is processed deliberately small.

Your rights

You can ask us to show you what we hold about you, correct it, delete it, or send you a copy. Email support@polefx.com and we will take care of it. We will not charge you, and we will not treat you differently for asking. We may need to confirm you are who you say you are before we act, usually by replying from the address the request came from.

Depending on where you live, privacy law may give you additional rights, including the right to object to or restrict certain processing, appeal a decision about your request, use an authorized agent, or complain to a regulator. We do not sell personal information, share it for cross-context behavioral advertising, or use it for targeted advertising, so there is nothing to opt out of on those grounds. Children

This site is meant for adults, and we do not knowingly collect personal information from children under 16. If you believe a child has sent us something, email us and we will delete it.

Links to other sites

We link out to Instagram and to documentation. Once you follow a link, you are on someone else's site under someone else's policy, and we have no control over what they collect.

Where your information goes

We are based in the United States, and the services we use store data in the United States and other countries. If you contact us from outside the US, your information will be transferred there and handled under this policy.

Changes to this policy

We will update this page when what we do changes, and we will move the date at the top when we do. If a change is significant, we will say so on the page rather than hoping you notice.
